Running a SACCO on Paper? The Problems It Costs You, and the Fix
Savings in exercise books, loans worked out by hand, missed repayments and members queuing for balances: how the SACCO Management System solves the everyday problems of Ugandan SACCOs.
SACCOs are how millions of Ugandans save and borrow. But behind many of them is a treasurer with a pile of exercise books, a calculator, and a queue of members asking the same question: "What is my balance?"
Paper records work while a SACCO is small. As it grows, the cracks show: a page goes missing, interest is worked out differently each time, a loan falls behind for months before anyone notices, and the annual general meeting arrives with books nobody can fully explain.
The SACCO Management System by Azsolver Technologies was built to close those cracks. Here are the problems we see most, and how the system solves each one.

1. Savings written in exercise books
The problem: Deposits are written by hand. A page can be lost, an entry can be quietly changed, and a member's balance depends on whose book you trust.
The fix: Every member has their own savings accounts: compulsory, regular or group. Each deposit is recorded against the account by cash, mobile money or bank, with a reference or voucher number, and posts straight into the books. Large withdrawals wait for a second officer to confirm them (maker-checker), and every action is kept in the audit trail.
2. Loans worked out by hand
The problem: Instalments and interest are calculated on paper, differently each time. Members are surprised by what they owe, and disputes follow.
The fix: Set up each loan product once, with its interest rate, term and fees. Before a member applies, the loan calculator shows the instalment, the total interest, the upfront fees and the full repayment schedule. Applications go through approval by a different person from the one who entered them, with guarantors and collateral recorded, and repayment schedules are generated automatically.
3. Repayments missed, and nobody follows up
The problem: A loan falls behind, and nobody notices until it is months overdue and the money is hard to recover.
The fix: Upcoming repayments are listed before they fall due, so officers can remind members early. Overdue loans go to the collections worklist, grouped by how late they are (1–7 days, 8–30, 31–90, over 90), with the outstanding amount and the officer responsible. Recovery cases, restructuring and write-offs are all handled, and the dashboard shows the portfolio at risk at a glance.
4. Members queue just to ask for their balance
The problem: Members leave their work, travel to the office and wait, only to ask how much they have saved or owe.
The fix: The Member Portal works on any phone. Members sign in with their member number and see their savings, shares and loans, their statements and how much they can borrow. They can apply for a loan without coming to the office. The portal is available in English and Luganda.
5. Collections in the field, with no network
The problem: Field officers collect savings and repayments in villages and markets where the network comes and goes, and the paper slips reach the office days later.
The fix: The field collection screen keeps working without a connection. Deposits, loan repayments and new member leads are captured on the device and sent to the office automatically once the network is back, each one recorded exactly once.
6. Books that are not ready for the AGM
The problem: At year-end, the accounts are rebuilt by hand, and the board cannot see the true position of the SACCO.
The fix: Every transaction posts through one double-entry accounting engine, so the books are always balanced. More than thirty reports are ready: member register, savings and share balances, loan portfolio, disbursements, repayments, portfolio at risk, the income statement, balance sheet, trial balance and cash flow statement. Each one prints or exports to Excel and PDF. Shares and dividends, expenses and budgets, and teller tills are all included.
Members, savings, shares, loans, collections and the books, in one system the board, the staff and every member can trust.
